Adding and managing users

In this chapter, we will explore the process of adding and managing users within aqua.
First to navigate in the user administration area please select under hamburger menu the appropriate section called 'User administration'.
To add a new user, simply click the "Add User" button located in the top-right corner of the window.
A user dialogue will appear, enabling you to input the necessary user details. Once a new user has been successfully created, they will promptly receive an email containing a link to aqua and their login credentials, which include their username and password.
Please note that for the user's username, certain special characters commonly found on standard keyboards are not allowed. These restricted characters include: @, ", /, =, ?, [, ], , +, *, :, ;, >, <, and |.
Please be sure that you have fulfiled the email and the user name fields before saving the form.
To edit a user, select the user from the list of users on the left and change the fields as required. In addition to the username, first name, last name, and email address, you can enter a job title and phone number, and add a picture.
If you are a server administrator, you can use the Server Administrator checkbox to give the user more rights. With the Server Administrator permission, the user has access to all projects and can assign himself and other users to all projects. They can also configure, add or delete roles and have access to the global system log.
Reset Password allows you to send an email with a new password to a user who has forgotten their password. To trigger the email, select the 3 dots icon and then press 'Reset Password'.
Deactivate User allows you to deactivate the selected user so that he/she cannot log in to aqua. The user will then be highlighted with a blocking sign on the User List. You can reactivate the user at any time.
When the licence assigned to the user expires, the user is automatically deactivated and the licence is crossed out. When the licences are renewed and the user logs in again, one of the current licences is automatically assigned to the user and the user is reactivated (if there are enough licences of that type). Otherwise, you can manually assign a licence to the user.
Delete User completely deletes the selected user and cannot be restored. The user information will also be removed from all fields in all items where it was stored (e.g. Created By, Assigned To, Tested By, etc.) in accordance with the GDPR.
