Assigning Licenses to Users

On the right side of the Users view, you can see all the licenses you have purchased, column by column. To assign a new license, select the cell corresponding to the user and license directly in the data grid.

At the bottom of the screen, you will see a summary of licenses already assigned and available. Deactivated by license means that for some reason no valid license was available sometime ago. Users are automatically reactivated when they log in if there are enough licenses available.

Assigning Project

You can assign a user to a project using the Project Permissions view. Then, you can select the appropriate cell for a user and project, and select a role that the user should have in that project. Roles can be defined in the "Roles" view.

Permissions

Permissions can be configured per folder. As an example, one user might only be able to read defects in folder A, but in folder B he is able to edit and delete defects. View "Folder permissions" allows configuring these special permissions.

In order to add a folder permission, select the specific folder and press the blue plus button labelled 'Add'.

Note: Permissions are inherited, i.e. the permissions of a subfolder can only be extended with respect to its parent folder. For example, if a user needs access to test cases in folder A, but not to folder B, he needs to be assigned a role without read/write access to the project (e.g. "Project Assignment"), and then assigned a corresponding role with access to the test cases in folder A.

The user will appear multiple times in the overview, once with the role for the project and once with the role for the folder(s).

You can also use "Show effective" to see in detail which permissions a user has on the selected folder.

Note: the following permissions can only be assigned at the project level and not at the folder level (so the Project Assignment role may need to be extended):

  • Reports

  • Project configurations (templates, workflows, archiving etc. as well as default values for the project)

  • Create/edit public views or public dashboards

  • Configure email notifications
